Visitor management

Welcome visitors like you mean it.

How it works

From the door to a yes in under a minute

Four steps. About 30 seconds for the visitor, one tap for the host.

Watch

See a guest check in

From the code on the tablet to an open door.

Why it is different

No sticker. A living badge on the phone.

Most visitor systems print a label that peels off in ten minutes and ends in the bin. Here the badge is the visitor's phone.

  • No label that falls off
Nothing is printed, so nothing peels, gets lost or ends up in the rubbish.
  • A badge that is alive
An interactive ID on the phone with the visitor's photo, name, host and how long it is valid.
  • Pass code on a tap (coming soon)
One button shows a QR code that keeps changing. A controller scans it, like a tram ticket, so a screenshot is no use.
  • Buttons that do things
The host chooses what the guest may use: open a door, start the vending machine, turn on a light.

Printed label vs Solver Visit

Sticker peels off, gets lost, is thrown away

Just a name on paper. It cannot do anything

Stays around after the visit and cannot be changed

The badge lives on the phone and is always there

Buttons for door, machine and pass code

Shows who approved it and ends with the visit

Features

Everything a front desk needs

Set up per company, so each tenant in the building gets its own rules.

QR check-in

Visitors use their own phone. No tablet app, no accounts, no sign-up.

Photo check

The photo is checked on the phone. No face or closed eyes is turned down.

Email with approve and reject links, and push in the Solver Employee app. SMS only if you want it.

Digital badge

The visitor's phone shows a live badge with photo, name and who approved. It updates by itself.

Returning visitors

Type a phone number and name and company are filled in.

Many companies, one desk

A shared reception serves several tenants. Each picks its own staff list and detail level.

Door access

A host gives a guest a button for a door, a lock, a light or a machine for the visit. Works with Salto, Danalock, Masterlock, Solver hardware and everything on Inlet.

Your own Entra ID

Looked up live with the search your admin sets up. No second staff list.

Check-out

The host checks the guest out with one click, so you know who is still in the building.

Evacuation message

One tap sends a message and a push to every employee at a location, and to guests too. Each company sets its own rules.

Auto-delete of the log

The company being visited decides how long visits are kept. Old rows are deleted by themselves.

Lookup log

Every lookup in your Entra ID is logged, with what the guest saw.

No SMS costs

Hosts are told by email and by push in the app. SMS is optional and off by default, so there is no cost for every visitor.

Push in the Solver Employee app

The host gets a push on the mobile phone when a visitor arrives, and manages all visitors in the app's Visit module.

Microsoft Entra ID integration

One read-only permission, approved once by your administrator. Staff are looked up live in your own Entra ID, so there is no second list to keep.

Self-service set-up

Sign up with your work account and follow the guide: your kiosk is ready in about five minutes.

Security and privacy

Only people who are really on site get in

The design starts from one question: how do we stop someone from outside using this?

A code that expires

The QR code renews every 5 minutes and cannot be reused.

Short sessions

A scan gives the phone a short visit session. There is no login and no stored identity.

Staff search is locked

The staff search cannot be reached without a live scan at the door.

You choose what is shown

Each company decides how much of a person is visible to a visitor.

Who controls what

The company being visited stays in control

Two roles, kept apart: whoever owns the Entra ID, and whoever owns the kiosk.

Owner of the Entra ID

  • Writes the search against its own directory
  • Chooses which company names show, and their logo
  • Sets how much a guest can see about a person
  • Reads every lookup a kiosk makes

Owner of the kiosk

  • Puts the screen up and enters the setup code
  • Chooses which Entra IDs the kiosk works with
  • Presents the companies on one QR code
Every lookup is logged
Which kiosk, what was searched and exactly what the guest saw. The Entra ID owner can read it, so nothing happens in their directory without them knowing.

Easy to run

Set it up once. Change it in minutes.

The kiosk owner adds a screen with a setup code. The owner of each Entra ID decides how their company works.

  • Reception screens
One setup code per screen. A screen stays activated after that.
  • Rules per company
Set by the Entra ID owner: the notification channels, the order of the steps and what guests may see.

The visitor can choose their language:

EnglishNorskSvenskaDanskSuomi

More than visits

The same app becomes your staff directory

The employee app the host already uses is a full directory. It finds colleagues from the same Entra ID the kiosk looks up.

  • Find anyone
Search all employees and filter by country, office, company and department.
  • Their photo when they call
Sync favourites or everyone to the phone's contacts. The photo comes along when it has been fetched.
  • Approve visits in one place
The host gets a push on iOS and Android, answers visits in the web app and can give a guest access to a door.
  • Chart and look up
Org chart, department chart, new hires, statistics and a search you can ask in plain words.
  • On the phone, in your language
iOS and Android, in English, Norwegian, Swedish, Danish and Finnish.
  • Not like Outlook or Gmail sync
Outlook and Gmail sync each person's own contact list. This syncs the company's shared directory to the phone, so every colleague is recognised when they call.

FAQ

Everything you may want to ask

For the guest

How is this different from other visitor systems?

There is no printed label. The visitor gets a live badge on their own phone, which has buttons for things like opening a door or starting a vending machine. A button that shows a rotating pass code for a controller is coming soon.

Do visitors need to install an app?

No. They scan the QR code with their own mobile phone and everything runs in the browser.

What if a guest forgot their phone?

They can register the visit on the tablet at reception instead. The host is told in the same way.

Is the photo checked?

Yes, on the phone. No face or closed eyes is turned down, and the photo is not sent until it passes.

What about returning visitors?

They type their phone number and name and company are filled in.

Can someone check in from outside the building?

No. The code at the screen renews every 5 minutes and a visit session is short, so you must have just scanned a live code on site.

Which languages are supported?

English, Norwegian, Swedish, Danish and Finnish for the visitor.

What is on the badge?

Name, company, photo, who they visit, and how long it is valid. It updates by itself on the phone.

What can the buttons do?

Anything in Solver that can be run as a command: a door, a light, a vending machine. The host decides per visit which buttons the guest gets, and they stop working when the visit ends.

Which doors and locks work?

Anything Solver can control directly, and everything that connects through Inlet. That includes Solver's own hardware, Salto, Danalock, Masterlock and the rest of the Inlet integrations.

Can the badge be used as a pass?

Yes. The badge has a button that shows a QR code. It renews all the time and a controller scans it, like a tram ticket, so a photo of it cannot be used later. This is planned and not live yet.

For the host and the company being visited

How does the host get told?

By push in the employee app, by SMS, by email, or a mix. It is set per directory. The message has approve and reject.

What if the host does not answer?

The visit expires after a set number of minutes without an answer.

Can a guest be checked out?

Yes. The host clicks check out, so the visit is closed when the guest leaves.

Can we send an evacuation message?

Yes. One tap sends a message and a push to every employee at a location, and to guests as well. The location comes from the office location field in Entra ID, and each company sets its own rules.

Can we delete the visit log automatically?

Yes. The company being visited sets how long visits are kept, and old rows are deleted by themselves.

Who decides what a guest can see about our staff?

The owner of the Entra ID decides, not the people who set up the kiosk. The Entra ID owner writes the search, chooses which company names show, adds the logo and sets the detail level. The staff search cannot be used without a live scan at the door.

Can we see what is looked up in our directory?

Yes. Every lookup is logged with which kiosk made it, what was searched, and exactly what the guest was shown. The owner of the Entra ID can read the log.

Can several companies share one reception?

Yes. One screen offers several companies, and each has its own staff list, detail level and rules.

A building has several legal companies. Can guests find the right one?

Each company name can be given a name guests recognise, or be hidden, so people do not need to know which legal entity they are visiting.

Do we need SMS?

No. By default the host is told by email, with links to approve or reject, and by push in the Solver Employee app. SMS can be switched on per directory, but it costs money for each message.

Solver Employee

What is Solver Employee?

The employee app the host already uses. It runs as a web app and as an app for iOS and Android. It holds the staff directory with search and filters, an org chart, department chart, new hires and statistics, and the host's list of visits.

Does the host need Solver Employee?

No. The host can approve or reject from the push, the SMS or the email, without logging in. Solver Employee is where the host sees all visits and gives a guest access to a door.

Can the same app be the company's staff directory?

Yes. It finds colleagues from the same Entra ID the kiosk looks up, and it can sync favourites or the whole directory to the phone's contacts, with photos when they are available.

How is the contact sync different from Outlook or Gmail?

Outlook and Gmail sync each person's own contact list, not the company's shared address list. Our app syncs the company directory, with photos when they are available, so every colleague is recognised when they call.

How does the push notification work?

The host installs the Solver Employee app on the mobile phone and signs in with the work account. A push arrives when a visitor asks for them, and the host manages all visitors in the app's Visit module.

Setup, directory and price

What do I need at reception?

One tablet or screen is enough. It shows the QR code, and guests check in on their own phone, so there is no queue at the tablet. If a guest forgot their phone, they can check in on the tablet instead. Open the page, enter a setup code once, and it stays activated.

Which tablet do I need?

Any tablet that runs a browser and keeps its screen on: an iPad, an Android tablet or similar. A simple 11-inch Android tablet costs from around NOK 2,000.

Where does the staff list come from?

From each company's own Entra ID. We look people up when a guest searches, with the search the Entra ID owner has set up, so there is no second list to keep up to date.

Can one kiosk work with several Entra IDs?

Yes. One kiosk can show companies from several Entra IDs on a single QR code, for example a building where many companies share the reception.

What if a company does not want to open its Entra ID?

The kiosk only asks for one application permission, User.Read.All, and reads nothing else. If a company still says no, its employees can be put into the system once and kept up to date there. That works, but it takes more work, and Entra ID is made for exactly this.

Does it work with Google Workspace?

Google support is coming soon. Today the staff list comes from Microsoft Entra ID, from Solver, or from a list you keep yourself.

Can I choose the order of the steps?

Yes. Per company you choose whether the visitor gives their details before or after picking the host.

Who pays?

The owner of the kiosk pays, by how many companies the QR code shows. The owner of an Entra ID connects for free and keeps full control.

How long does it take to get started?

A screen and a setup code is the minimum. We set up the staff list and company rules with you.

Can partners resell it?

Yes. See the partner page.

How does Solver Visit connect to Microsoft Entra ID?

An administrator of your Microsoft 365 approves one read-only permission, User.Read.All, once. Visit then looks up your employees live when a visitor searches. Nothing is copied into a second staff list.
